Graft House Gym Ltd - Class Cancellation Policy
At Graft House Gym, we understand that life can be unpredictable, and sometimes you may need to cancel your scheduled classes. To ensure a smooth experience for all our members, we have established the following class cancellation policy:
Cancellation Notice:
• Members must cancel their class reservation at least 12 hours before the scheduled start time. This allows other members the opportunity to book the available spot.
Late Cancellations:
• Cancellations made within 12 hours of the class start time will be considered a late cancellation.
• A late cancellation fee of £5 will be charged to the member’s account.
No-Shows:
• If a member does not show up for a scheduled class and fails to cancel their reservation, a no-show fee of £5 will be charged to their account.
• Repeated no-shows (more than three times in a month) may result in temporary suspension of booking privileges.
Waitlist Policy:
• If a class is fully booked, members can join the waitlist.
• Members on the waitlist will be automatically enrolled in the class if a spot becomes available. An email notification will be sent to confirm enrolment.
• Standard cancellation policies apply once a member is enrolled from the waitlist.
Emergency Cancellations:
• We understand that emergencies happen. If you need to cancel a class due to an emergency, please contact our front desk as soon as possible.
• Emergency cancellations will be assessed on a case-by-case basis, and fees may be waived at the discretion of management.
Class Cancellations by Graft House Gym:
• In the event that Graft House Gym needs to cancel a class, members will be notified as soon as possible via email or phone.
• Members will not be charged any fees for classes cancelled by Graft House Gym.
• We will make every effort to reschedule the class or provide alternative options.
Refunds and Credits:
• Fees incurred from late cancellations or no-shows are non-refundable.
• No credits will be issued for late cancellations or no-shows.
Booking and Cancellation Process:
• Members can book and cancel classes through the Graft House Gym app, website, or by calling the front desk.
• Ensure that your contact information is up-to-date to receive timely notifications regarding your bookings.
Non-member Drop-Ins:
For non-members purchasing a one-off drop-in session, you agree to the following terms and conditions:
• Payment: You are still required to pay for the session even if you don't turn up for the session for any reason.
• Class Access: This purchase will allow you to book onto any of the Graft House Gym classes in the timetable and also one open gym entry in a 24-hour period.
We appreciate your cooperation in adhering to our cancellation policy. This helps us maintain an organised and fair system for all members, ensuring everyone has a chance to participate in our classes. Graft House Gym Ltd - Waiver
By signing this waiver, I acknowledge and agree to the following terms:
1. Assumption of Risk:
I understand that participation in activities at Graft House Gym, including but not limited to functional fitness and CrossFit-style workouts, involves inherent risks, including physical injury, disability, and even death. I voluntarily assume all risks associated with my participation.
2. Release of Liability:
I release and discharge Graft House Gym, its owners, employees, trainers, and agents from any and all claims, demands, and causes of action arising from my participation in gym activities, whether caused by negligence or otherwise, to the fullest extent permitted by UK law.
3. Indemnification:
I agree to indemnify and hold harmless Graft House Gym from any liability, damages, or costs, including legal fees, resulting from my participation in gym activities.
4. Medical Clearance:
I confirm that I am in good health and have no medical conditions that would prevent me from safely participating in physical activities at Graft House Gym. If I have any health concerns or medical conditions, I have consulted with a healthcare professional who has cleared me to engage in such activities.
5. Emergency Treatment:
In the event of an emergency, I authorise Graft House Gym to seek medical treatment on my behalf. I accept responsibility for any associated costs arising from such treatment.
6. Compliance:
I agree to adhere to all rules, policies, and guidelines of Graft House Gym. I understand that failure to comply may result in the suspension or termination of my membership without refund.
7. Photo and Video Release:
I grant Graft House Gym permission to use my image and likeness in promotional materials, including social media, without any compensation.
I HAVE READ AND UNDERSTOOD THIS WAIVER AND RELEASE OF LIABILITY. BY SIGNING BELOW, I AGREE TO ITS TERMS.
Graft House Gym Ltd - T&Cs - 12 Month Membership
By entering the Graft House Membership on a 12-month basis, you agree to the following terms and conditions:
Payment: Payment will be made promptly and in accordance with the Direct Debit Terms and Conditions agreed to when undertaking the membership. The monthly payment is not dependent on the booking of a session. You will still be liable for payment even if you choose not to undertake a session during the monthly period.
Class Access: As a 12-month member, you are entitled to book onto any of the Graft House Gym classes in the timetable and also have open gym access during all opening hours.
Injury or Payment Issues: In the event you are injured or become unable to make payment during the 12-month period, the gym management has the discretion to reimburse or cancel the contract. You may be required to provide medical evidence or other suitable documentation to support your claim.
Cancellation: In the event of cancellation of your 12-month membership, you will be required, as per this contract, to pay the outstanding balance left on your 12-month contract.
