The participant understands that there is a risk of personal injury in the course of instruction and, with this knowledge, agrees to assume the risk of any injury and/or damages to the participant during the class* (in person or online) at Valkyrie HQ or at one of Valkyrie HQ outside events.
Specifically, the participant agrees to hold Valkyrie HQ blameless together with all other individuals, organisations, sponsors, operators, hosts, coaches, owners, officials, directors, employees and other participants connected with the business from all losses, damages, injuries, causes of actions, claims, or complaints in the event that the participant is damaged or injured in any way during the participation, instruction and/or performance of any exercise or during any activity associated with the event location or during transit to or from the event.
The participant further agrees to strictly obey coaches and observe safety rules. Due to the physical demands of the training/classes, the participant understands that he/she must be in good physical condition to participate in the class*.
The participant understands that in case of injury, the only medical treatment Valkyrie HQ will provide is first aid.
The participant understands that Valkyrie HQ has no obligation to perform a fitness assessment or similar testing to determine the participant’s physical condition.
In case of any doubt, the participant shall seek advice from a medical doctor who should confirm their ability to exercise in writing.
The participant agrees that any pictures, audio, or visual recordings taken of him/her in connection with the membership/class can be used for publication, promotion, articles, shows, and advertisement without additional consent and without compensation at this time or any other time.
The participant understands that it is their continuing responsibility to inform the coach(es) at Valkyrie Athletic Performance of any previous or current medical conditions, injuries, or surgeries prior to class* (in person or online) - these may include but are not limited to:
- Back pain/problems
- Abdominal disorders
- Nerve damage/trauma
- Pain, stiffness, swelling, broken bones - Shoulder/neck problems
- Auto-immune disorders (e.g ME, MS) - Epilepsy
- Arthritis (osteo or rheumatoid)
- Hip problems
- Low blood pressure/fainting
- Knee problems
- Osteoporosis
- Pregnant/recent pregnancies
- Surgery (in last two years)
- Varicose veins/Oedema
- Sensory disorders affecting eyes/ears
- Anxiety/Stress/Depression
- Balance affecting disorder (e.g. vertigo) - Diabetes
- Respiratory problems (e.g. Asthma)
IMPORTANT: It is especially important to let Valkyrie HQ know if you have any of these conditions as you may not be allowed to participate.
- Lymphoma
- Anorexia/Bulimia
- High Blood Pressure - Heart Conditions

*for this document the word “class” can apply to but is not limited to any online or in person one-to-one, workshop, session, class, event whether paid for or not in any discipline.
I am not under the influence of any drugs, alcohol, or other intoxicants.
I am not suffering from any illness or incapacity. I am over 18 years of age. (If not over 18 years of age, parent or guardian must sign a separate form.)
Valkyrie HQ reserve the right to change or cancel classes* and/or prices at any time, with, or without notice and to refuse instruction to anyone.
I have read the above agreement of release of waiver and liability and fully understand its contents, I voluntarily agree to the terms and conditions stated above.
In the Terms and Conditions the following definitions apply:
”Company” means Valkyrie HQ;
”Member” means any person that has completed and submitted the registration form (the “Registration Form”) and has been accepted by the Company. This should be completed before the Members' first class;
“Site” means Valkyrie HQ, Godalming, GU86AD;
“Venue” means Valkyrie HQ
”Terms and Conditions” means these terms and conditions;
References in the Terms and Conditions to the singular will include the plural and vice versa and references to the masculine gender will include references to the feminine gender.
The Company reserves the right to vary or revoke the Terms and Conditions from time to time, whatever variation it may consider necessary or desirable for the regulation of the affairs of the venue and the conduct of Members. Any such changes will be notified to Members and, until revoked, are and will be binding on Members.
The Terms and Conditions will be governed by the laws of England and subject to the exclusive jurisdiction of the English courts.
CLASS BOOKINGS, CANCELLATION AND REFUND POLICY
Details of fees are available at the venue or our website www.valkyriehq.co.uk or via WODboard.
Classes may be booked up to two weeks in advance and will become available to book exactly 2 weeks before the class; upon booking a class you will receive a confirmation email for your spot.
If you cancel your class up to 6 hours before the scheduled start time of your class, you will be refunded your fee. If you cancel within the 6 hour window, your fee will not be refunded.
If a class is fully booked, you will be offered a waitlist spot and receive notification that you are on the waitlist. Once a spot becomes available, you will be informed by email or text message.
Classes can be booked, cancelled or rescheduled through the online booking system, in person or on site.
You must be physically present on site and checked-in minutes prior to the start of class. If you are new, we recommend you arrive at least 10 minutes in advance so you can familiarise yourself with the space and ask the coach any questions.
If you are late, you will be allowed in, but if you are more than 10 minutes late it will be at the coach’s discretion as to whether they are able to let you in the class.
If you are recovering from injury or illness, you must notify the coach prior to the class starting to assess if you are in a fit state to participate.
Mobile phones are allowed in class provided they are on silent and not disruptive.
PERSONAL BELONGINGS
Personal belongings that are brought onto the site and motor vehicles left on the site are at the Members' own risk and the Company does not accept liability for any loss or damage whatsoever to such items.
DRESS
Members are requested to wear a form of dress appropriate to the practice of fitness activities. Members must wear gym clothing and sports trainers. Training shoes must be clean, members with soiled shoes will be denied access to the venue and unable to participate in that class. This also applies to Jewellery, it is up to the member to remove jewellery if there is a chance of injury or damage due to an exercise.
SAFETY & HYGIENE
In the interests of safety and hygiene, no crockery, glass are permitted on site. Only closed containers of water are permitted at the venue. Dogs are permitted on site, but must be on a lead and kept away from the training area.
As classes are held outside or in an enclosed area on site, fire exits are all around. In case of a fire the meeting point will be on the grass hill opposite the site.
Smoking is forbidden during classes.
CCTV
CCTV is in operation on site and any unlawful activity on site may be reviewed for possible legal action.
MEMBERSHIP
Subject to these terms and conditions, when a person has completed the registration form they will, upon acceptance by the Company, become a member of the Company.
Acceptance of a person as a Member is in the absolute discretion of the Company.
The Company reserves the right to refuse access to the site, suspend or terminate such membership in respect of any Member whose conduct is in breach of the Terms and Conditions, or where such behaviour upsets other Members of the venue. Upon such termination the Member will have no entitlement to any refund.
Members must be 16 or over. Persons under the age of 16 may utilise the facilities of the site subject to the consent and/or supervision of a parent.
Your MEMBERSHIP Account
In order to attend classes on site, you will have to create a personal Member’s account. This can be done either online, in person, or on site. When creating your Member’s account, you must provide accurate and complete information. You are responsible for your Member’s account. You must notify us immediately of any breach of security or unauthorised use of your account
PAYMENT TERMS
Details of class prices are available either at www.valkyriehq.co.uk or directly from on site or via WODboard.
Members must book and pay for any class either on-line or in person at the venue reception.
VENUE OPENING TIMES
Details of class times may vary from time to time and times will be published by the Company and will be available at www.valkyriehq.co.uk or via WODboard.
FITNESS AND HEALTH
By agreeing to these Terms and Conditions, Members hereby confirm that they have no health problems (including without limitation cardiac irregularities; spinal, bone, joint, tendon or ligament injuries; spells of dizziness; asthma (or other breathing difficulty); diabetes, epilepsy or any allergy) which may affect their participation in any classes on site.
Members should not undertake strenuous physical activity without first seeking medical advice if they have concerns over their physical condition and wellbeing. Members with low/high blood pressure and/or cardiac irregularities should not attend class. If there is any doubt, the Member should consult their doctor.
The Company reserves the right to refuse access to any Member if, in its absolute discretion, it considers that the health of the individual concerned may be endangered.
Members are required to follow the instructions of the class instructor at all times.
GENERAL
The Company reserves the right to refuse admission to the venue.
For the purposes of the Contracts (Rights of Third Parties) Act 1999 this agreement is not intended to, and does not, give any person who is not a party to it any right to enforce any of its provisions.
Data Protection
The Company is a 'data controller' for the purposes of the Data Protection Act 2018 and GDPR, (i.e. the Company is responsible for, and control the processing of, a Member’s personal information).
The Company collects personal information about Members (such as your name, address whilst applying to become a Member). The Company also collects personal information when Members contact the Company, when sending feedback etc.
The Company may ask Members to provide special category data, for example. health information. If the Company requests such information, it will explain why it is being requested and how it is intended to be used. The Company will only collect such data with the Member’s prior consent.
The Company may monitor and record communications with Members (such as telephone conversations and emails) for the purpose of quality assurance, training, fraud prevention and compliance.
The Company collects information about Members so that it can:
Identify Members and manage any accounts held with the Company; conduct research, statistical analysis and behavioural analysis; detect and prevent fraud; notify Members of any changes to the Company’s website or to their Membership;
carry out security vetting; send Members marketing and educational information; and improve the Company’s services. The Company would like to send Members marketing, educational and other information relevant to a Member’s membership. By providing an email address, a Member consents to receiving emails from the Company.
The Company will use technical and organisational measures to safeguard Members’ personal data, for example:
Access to a Member’s account is controlled by a password and username that are unique to that Member; and we store Members’ personal data on secure servers.
While the Company uses all reasonable efforts to safeguard Members’ personal data, Members acknowledge that the use of the internet is not entirely secure and for this reason the Company cannot guarantee the security or integrity of any personal data that are transferred from Members or to Members via the internet.
Members can request a copy of the information which the Company holds by:
Emailing, calling or writing to the Company; providing the Company with proof of the Member’s identity and address (copy of their driving licence or passport and a recent utility or credit card bill); and letting the Company know the information the Member wants a copy of, including any account or reference numbers, if the Member has them.
A Member can require the Company to correct any mistakes in a Member’s information which the Company holds free of charge. If Members would like to do this, they must:
Email, valkyrie.athletic.performance@gmail.com; let the Company have enough information to identify the Member (e.g. account number, user name, registration details); and let the Company know the information that is incorrect and what it should be replaced with.
Members can ask the Company to stop contacting them for direct marketing purposes. The Company may make videos and take photographs for promotional purposes especially publication on social media. The member volunteers their consent but on request of not being included in photos or videos the company will honour this and not include the member in photos and videos.
Email, call or write to the Company;
provide the Company with proof of the Member’s identity and address (copy of their driving licence or passport and a recent utility or credit card bill); and let the Company know what method of contact the Member is not happy with if the Member is unhappy with certain ways of contacting that Member (for example, a Member may be happy for us to contact that Member by email but not by telephone).
Any marketing, educational or other materials of any nature whatsoever produced by the Company in connection with the venue and which are made available to Members at the venue will at all times remain the property of the Company and will be subject to the Company’s copyright.
LIMITATION OF LIABILITY
It is the Member’s responsibility to ensure that they are capable of undergoing any class which they attend. Members accept the risk of injury from performing exercises and using specialist equipment and are advised to consult their doctor prior to beginning any class. Advice provided by our coaches at no time constitutes medical advice in substitute for advice provided by a medical professional.
The Company accepts no liability for loss or damage to property of Members or for injury to Members on the venue premises or outside the venue except insofar as such loss, damage or injury is by law incapable of exclusion.
In consideration of their participation in the activities and programmes of the Company and the use of facilities and equipment owned and/or under the control of the Company, the Member hereby waives and releases the Company from any and all responsibility or liability for injuries or damages resulting from their participation in any of the Company’s activities, or use of the Company’s equipment or facilities save in respect of death or personal injury caused by the negligent act or omission of the Company.
The Company cannot be held responsible for any particular class, instructor and/or item of equipment not being available for whatever reason. The Company reserves the right to make alterations to the classes, instructors and/or equipment provided to Members, without notice and in its absolute discretion and the Company will not be liable for any loss occasioned by such alterations except insofar as such loss is by law incapable of exclusion.
